Schedule of Events
We will work with you to agree an event schedule and recording itinerary before the event. Please note that the agreed schedule may need to be adjusted on the day due to unforeseen circumstances, delays, venue requirements, or other factors beyond our control.
For events held at temples, places of worship, or reception venues, the movement and positioning of photographers and videographers may be restricted by priests, pundits, venue management, or applicable regulations. Certain parts of the ceremony may be restricted or prohibited from being photographed or filmed, and the use of artificial lighting may also be limited. Prime Films cannot accept responsibility for reduced or restricted coverage in such circumstances.
While we make every effort to capture all significant moments, event environments are uncontrolled and differ substantially from studio conditions, where lighting, movement, and positioning can be managed. As a result, certain moments may be affected by environmental factors beyond our control.
We will endeavour to make full use of our equipment where practical. However, we cannot be held responsible if logistical challenges, venue restrictions, limited space, safety considerations, or time constraints prevent the setup or use of certain equipment.
The client is responsible for arranging suitable parking where required. If adequate parking or access arrangements are unavailable, resulting delays or limitations to coverage shall not be the responsibility of Prime Films.
Photography
All photographs delivered to the client will be professionally edited for colour correction, exposure, and general image enhancement. Editing is carried out in-house according to Prime Films’ established artistic style, workflow, and quality standards.
We do not accept requests for image re-editing that fall outside our standard editing practices or require significant stylistic changes.
Depending on the package purchased, photographs will be delivered via digital download link or USB drive. Replacement USB drives may be provided subject to a £50 administration and production fee.
Prime Films reserves the right to retouch and use selected images for promotional, advertising, portfolio, website, social media, or marketing purposes unless otherwise agreed in writing.
Any additional editing, retouching, image requests, or supplementary coverage beyond the agreed package will incur additional charges.
Videography
Wedding films are typically delivered within 3–4 months of the event date. The completed film supplied to the client shall be considered the final edited version produced by Prime Films. Draft versions are not routinely provided.
If technical errors are identified, including but not limited to camera shake, incorrect sequencing of events, spelling mistakes in titles, or other production errors attributable to Prime Films, we will correct these at no additional cost.
Where clients are invited to provide music preferences, song selections should be submitted as soon as possible after the event. If no selections are received within a reasonable timeframe, Prime Films reserves the right to choose music considered appropriate for the production. We typically request between 5 and 8 songs.
Requests for revisions that fall outside the correction of technical errors—including changes to music, scene selection, editing style, pacing, colour grading, or other creative decisions—will be treated as discretionary revisions and may incur an editing fee, typically ranging from £200 to £400 depending on the scope of work required.
Any revision costs will be agreed and paid in advance before work commences. Once payment is received, revised films are generally delivered within one month.
All revision requests must be submitted by email within six weeks of delivery of the wedding film and must include a clear description of the requested change, including relevant timestamps where applicable.
Prime Films does not provide RAW video files or unedited footage unless specifically agreed in writing before the event and subject to additional charges.
We use our professional judgement to select and edit the most suitable footage available to create the final production. Additional footage, extended edits, or additional versions beyond those included in the agreed package will incur additional charges.
Promotional Discounts
Any promotional or discounted pricing offered by Prime Films is conditional upon the client’s consent for the use of photographs and/or video footage for portfolio, social media, advertising, and promotional purposes.
Should the client later withdraw this consent or request that all content remain private, Prime Films reserves the right to charge the difference between the discounted rate and the applicable standard rate.
Overtime Charges
Services are booked based on the agreed coverage period stated in the contract. Any additional coverage requested on the day beyond the agreed booking period will be charged at £100 per crew member per hour, unless otherwise agreed in writing.
Overtime charges must be settled either on the day of the event or within seven days of the event date.
Delivery, Storage and Postage
Digital delivery is our standard method of delivery and provides clients with direct access to their media files. Where USB drives or physical media are supplied, they will be sent by recorded delivery where applicable. Clients are responsible for ensuring that all delivered content is downloaded, collected, and safely stored.
For digital deliveries, clients must download and back up all files within one month of receiving the download link. Download links are temporary and may expire after the stated period.
Prime Films does not guarantee permanent storage of client files. While we endeavour to retain files for as long as reasonably possible, we accept no responsibility for archiving, recovering, or maintaining files after one year from the date of delivery.
If replacement copies are requested and the files remain available, additional copy charges apply. Clients are strongly advised to maintain multiple backups of all delivered photographs and videos using external hard drives, cloud storage, USB devices, computers, or other suitable backup methods.
Responsibility for data storage and preservation transfers entirely to the client after delivery.
Social Media, Copyright and Portfolio Use
Depending on the package selected, Prime Films may create a highlights film, teaser trailer, or promotional edit for display on social media platforms including YouTube, Instagram, Facebook, TikTok, websites, and other promotional channels.
These productions often involve additional creative work beyond the scope of the contracted package and are intended to showcase our work.
While we welcome client suggestions regarding music preferences, Prime Films retains final editorial discretion regarding music selection, creative style, and presentation for any promotional content.
If a client requests that their content remains private and is not used publicly, Prime Films may decline to create a promotional highlights film or may apply additional charges to cover the production of a private version.
Unless otherwise agreed in writing, Prime Films retains full copyright ownership of all photographs, videos, trailers, promotional edits, and associated creative works produced.
Clients may use delivered content for personal, non-commercial purposes. Commercial use, redistribution, resale, removal of branding where applied, or publication without appropriate credit may require a separate licence agreement.
Prime Films reserves the right to display, publish, exhibit, advertise, or otherwise showcase any commissioned work in portfolios, exhibitions, competitions, websites, social media platforms, magazines, marketing materials, presentations, or private client consultations unless privacy restrictions have been agreed in writing prior to booking.
Lost or Missed Footage
Prime Films takes every reasonable precaution to ensure the safe recording, handling, storage, and backup of footage and photographs. However, due to the nature of digital media and live events, technical failures, equipment malfunction, data corruption, human error, venue restrictions, or unforeseen circumstances may occasionally occur.
For packages utilizing a single camera, Prime Films shall not be liable for lost, damaged, corrupted, missed, or unusable footage. For packages involving multiple cameras recording simultaneously, where footage is lost, damaged, corrupted, or otherwise unusable, Prime Films’ liability shall be limited to a refund of the proportionate amount paid for the affected portion of coverage. Under no circumstances shall Prime Films be liable for indirect, consequential, emotional, or financial losses arising from missed or lost footage.
We strongly recommend that the client appoint a designated representative to liaise with our team throughout the event and notify us of any key moments, ceremonies, performances, speeches, or rituals. Prime Films cannot accept responsibility for events, ceremonies, or moments that take place without our knowledge or without sufficient notice to allow reasonable preparation and attendance.
Working Hours and Delays
Prime Films will make every reasonable effort to arrive before the agreed start time. However, we shall not be responsible for delays caused by circumstances beyond our reasonable control, including but not limited to road traffic accidents, severe weather conditions, road closures, vehicle breakdowns, public emergencies, venue restrictions, or force majeure events.
Where possible, we will make reasonable efforts to recover lost time. If Prime Films is unable to perform services due to circumstances beyond our control, our liability shall be limited to the return of any monies paid, including deposits and additional payments received.
Prime Films is not responsible for obtaining footage of venue décor, room styling, or event setup if such preparations are incomplete upon our arrival or before guest access. To achieve optimal décor coverage, we require approximately 20 minutes of unrestricted access to a fully completed venue setup before guests enter the area.
Cooperation with Other Media Companies
From time to time, Prime Films may work alongside photographers, videographers, content creators, or media teams engaged by other family members, event organisers, suppliers, or third parties. While we will cooperate professionally wherever possible, Prime Films cannot guarantee exclusive positioning, unrestricted movement, or an unobstructed line of sight during key moments. We accept no responsibility for missed, obstructed, or compromised footage resulting from the actions, positioning, equipment, or conduct of any third-party media personnel.
By booking our services, the client acknowledges that the presence of additional media teams may affect coverage and agrees that Prime Films shall not be liable for any resulting limitations.
Complaints Procedure
In the unlikely event that you are dissatisfied with any aspect of our services, Prime Films will make every reasonable effort to investigate and resolve the matter promptly. Any complaint must be submitted in writing within 14 days of the event or the issue arising.
Prime Films will acknowledge and review the complaint and provide a response within 14 days of receipt.
Communication
It is essential that clients provide all relevant information regarding the event in a timely manner. Prime Films relies on the information supplied by the client to plan coverage effectively and prepare for the day’s events.
Clients must provide accurate schedules, venue addresses, contact details, and timings for all parts of the event. Failure to provide complete or accurate information may affect coverage, for which Prime Films cannot be held responsible.
